Purchasing Assistant

Location: Lockerbie
Reporting to: Operations Supervisor
Contract: Full Time, Permanent
Salary: Competitive, Depending on Experience
Hours: 40 hours - with flexibility/reduced hours considered Mon to Thu 8.00am - 4.45pm, Fri 8.00am - 3.00pm

The Purchasing Assistant is a key role to support our Lockerbie & Warrington workshops in ensuring they have the goods and services delivered to facilitate efficient and effective working at both sites.

This role will also be responsible for the accurate and timely posting of costs onto projects as per the schedules and information provided in our operating system.

Key Duties & Responsibilities:

The key duties and responsibilities of this position include, but are not limited to:

Purchasing:

  • Action requisition requests for steel purchases, surface finishing, workshop stock
  • Confirm delivery of goods and services are in line with orders placed and updating systems in line with this; this will require liaising with suppliers and our own workshops.
  • Issue purchase order for fleet maintenance and vehicle parts.
  • Place orders for office supplies including cleaning materials & stationary
  • Provide purchasing support across the Robinsons Group of companies when required
  • Obtain, compare, and negotiate quotes from suppliers for ad-hoc purchases

Project Costings:

  • Allocation of yard & steel stock to projects as per schedules provided
  • Allocation of labour costs/time to projects as per timesheets
  • Allocation of mileage to projects as per delivery notifications

General:

  • Comply with the company’s policies & procedures and Health & Safety regulations
  • Undertake additional duties to support the team as and when required
  • Provide support to the finance team in covering key tasks whilst others are on leave
  • Adopt a continuous improvement mindset to ensure efficient ways of working are adopted

Person Specification:

Essential Criteria

  • Proficient in Microsoft Office, Excel in particular
  • Familiar with updating information with ERP systems
  • Proven experience in managing supplier orders
  • Ability to build and maintain strong relationships with suppliers
  • Strong negotiation and communication skills
  • Excellent organisational and time management skills
  • Attention to detail and a commitment to accuracy

Desirable Criteria

  • Experience using Microsoft Dynamics/Business Central
  • Knowledge of the Manufacturing and/or Construction industry would be advantageous
  • Certification in procurement (CSCP, CIPS or similar) or interest in undertaking training
