Operations Administrator

Location: Lockerbie
Reporting to: Operations Supervisor
Contract: Full Time, Permanent
Salary: Competitive, Depending on Experience
Hours: Monday-Thursday, 8am-4.45pm and Friday, 8am-3pm

We are currently seeking to recruit an Operations Administrator to join our team to provide efficient and effective administration support. You will be working closely with the transport, production and contracts departments to ensure the smooth running of the contracts from start to finish.

DUTIES & RESPONSIBILITIES

The key duties and responsibilities of this position include, but are not limited to:
• Sending and following up customer satisfaction surveys. Organising vouchers to be sent to customers who have complete surveys.
• Assist the Production department by ensuring a design pack is prepared ready for when manufacturing works begin.
• Organising site packages to go with deliveries.
• Booking accommodation and ferries for our on-site personnel whilst working throughout the UK.
• Answering calls and emails from both customers and colleagues in a professional and courteous manner.
• Undertake administration duties and support our contracts department to ensure that files are correctly stored, while adhering to GDPR guidelines.
• Undertake additional duties and provide cover as and when required.
• Ordering and tracking PPE for drivers, site and yard personnel.
• Collating O & M manuals and emailing to customers.

PERSON SPECIFICATION

Essential:

• Good communication and organisational skills.
• Work well within a team and contribute to a supportive work environment.
• Prioritise tasks in order of importance and manage time effectively.
• Computer literate and competent in the use of Microsoft Office (Word & Excel).

Desirable:

  • Prior experience within a similar role however full training will be provided.
  • Data inputting / checking within Business Central software.
  • Use of uploading and managing documents within Sharepoint.
